Terms & Conditions

General

Your booking contract is made with HimaQuest Tours (“the company,” “we,” “us,” “our”), a licensed travel agent registered with the Department of Tourism (DoT) in Bhutan. All holidays booked with us are governed and protected under Bhutanese laws. We are committed to ensuring a seamless travel experience, adhering to the highest standards of safety and quality. Additionally, any personal information you provide to us will be handled securely and in compliance with applicable data protection regulations.

BOOKING, PAYING AND CONFIRMING FOR A HOLIDAY
To book a holiday, you can use our website or contact us for a quote. Please note that international airfare is not included in the package price and will be quoted separately. The price in your quotation is valid until the expiry date mentioned. We do not provide a detailed breakdown of costs, and all quotes depend on availability and any changes in circumstances.

To confirm your booking, complete and sign the Tour Booking Form and send it to us with a 20% deposit. This deposit secures your reservation or confirms any tentative bookings. If your travel period or our suppliers require a higher deposit, we will inform you when you book. If we arrange your international airfare, payment for it may also be needed at this stage. The deposit is part of your total holiday payment. We recommend getting travel insurance as soon as you book.

Paying the deposit and sending the Booking Form does not mean your booking is confirmed. We will confirm it by sending a detailed itinerary and an invoice with the final payment due date. Make sure we receive your payment by the due date, or your deposit may be forfeited.

If we can’t confirm your arrangements, we’ll suggest alternatives or provide a new quote. If the changes are significant, you can choose to accept them or get a full refund without cancellation fees.

ALTERATIONS, CANCELLATION CHARGES AND REFUND

If you wish to amend your booked holiday, we will provide you with a new quote. Additional fees from hotels and/or suppliers may apply. These fees do not include any reissue or non-refundable charges imposed by airlines for international airfare. If you reduce the size of your group, the price per person for the remaining members may increase significantly.

If you need to cancel your holiday, the following cancellation policy will apply:

  • More than 90 days before departure: 50% of the deposit is non-refundable.
  • 60–90 days before departure: 100% of the deposit is non-refundable.
  • 30–60 days before departure: 50% of the total tour price is chargeable.
  • Less than 30 days before departure: 100% of the total tour price is chargeable.

This cancellation policy does not include international airfare, as refunds are subject to the fare rules of the airline and will be advised separately. Certain cruises, trains, and hotels may have different booking and cancellation terms, which will be communicated before booking and will take precedence over the standard policy above.

Cancellations must be submitted in writing. Refunds will be processed as quickly as possible but may take 2 to 3 months to complete due to airline and international administrative procedures.

NO SHOWS

If you don’t notify us before missing your trip, it will be a no-show, and no refunds will be given for the booking.

CHANGES AFTER DEPATURE

Once the tour has commenced, no refunds will be provided for any unused services. Any changes to travel arrangements that result in additional costs, such as price differences or ticket reissue fees, must be paid to the company at the time of the changes.

PASSPORT AND VISA

It is the guest’s responsibility to independently verify and ensure they possess the necessary travel documents, such as a valid passport, visas, work permits, and health certificates, for their trip.

Certain services, including museums, restaurants, hotels, and shopping, may be unavailable or limited during local holidays, national events, or religious observances. We will do our best to suggest alternatives. HimaQuest Tours is not liable for any closures or changes to the itinerary caused by these factors.
