General Terms & Conditions for Bhutan Travel

Read HimaQuest Tours’ Terms & Conditions to ensure a safe and smooth Bhutan travel experience. These terms cover bookings, payments, cancellations, and other policies.

When you book with HimaQuest Tours (“the company,” “we,” “us,” “our”), you enter into a contract with a licensed travel agent registered with the Department of Tourism, Bhutan. All holidays booked with us follow Bhutanese laws. We commit to providing a seamless travel experience while maintaining the highest safety and quality standards. We handle all personal information securely in compliance with data protection regulations.

Booking, Paying, and Confirming a Holiday – Terms & Conditions

You can book your Bhutan holiday through our website or by contacting us for a quote. International airfare is not included in the package price and will be quoted separately. Prices in your quotation remain valid until the expiry date. We provide quotes based on availability and current conditions.

To confirm your booking, complete and sign the Tour Booking Form and send it to us with a 20% deposit. This deposit secures your reservation. If your travel period or our suppliers require a higher deposit, we will notify you. If we arrange your international airfare, you may need to pay for it at this stage. The deposit counts toward your total holiday payment. We recommend purchasing travel insurance as soon as you book. Learn more about travel insurance options.

Paying the deposit and submitting the Booking Form does not confirm your booking. We will confirm it by sending a detailed itinerary and an invoice with the final payment due date. Make sure we receive your payment on time, or we may forfeit your deposit.

If we cannot confirm your arrangements, we will suggest alternatives or provide a new quote. If the changes are significant, you can accept them or request a full refund without cancellation fees.

Alterations, Cancellation Charges, and Refunds – Terms & Conditions

If you wish to amend your holiday, we will provide a new quote. Hotels or suppliers may charge additional fees. These fees do not include airline reissue or non-refundable charges for international airfare. Reducing your group size may increase the price per person for remaining members.

If you cancel your holiday, the following policy applies:

  • More than 90 days before departure: 50% of the deposit is non-refundable

  • 60–90 days before departure: 100% of the deposit is non-refundable

  • 30–60 days before departure: 50% of the total tour price is chargeable

  • Less than 30 days before departure: 100% of the total tour price is chargeable

This policy excludes international airfare. Refunds for airfare follow airline rules and will be advised separately. Certain cruises, trains, and hotels may have different terms, which we will communicate before booking.

Submit cancellations in writing. Refunds may take 2–3 months due to airline and international procedures.

No-Shows – Terms & Conditions

If you miss your trip without notifying us, we consider it a no-show. We will not issue any refunds for no-shows.

Changes After Departure – Terms & Conditions

Once your tour begins, we do not provide refunds for unused services. Any changes that result in additional costs, such as ticket reissue fees, must be paid immediately.

Passport and Visa – Terms & Conditions

Guests must verify and ensure they have all necessary travel documents, including a valid passport, visas, work permits, and health certificates. Learn more about Bhutan visa requirements.

Public Holidays – Terms & Conditions

Some services, including museums, restaurants, hotels, and shops, may close or operate with limited hours during local holidays, national events, or religious observances. We will suggest alternatives where possible. HimaQuest Tours is not responsible for closures or itinerary changes caused by these factors.

Responsibility and Liabilities – Terms & Conditions

The company and its agents do not assume responsibility for injury, illness, damage, accident, loss, delay, death, or irregularities affecting persons or property. Guests must understand the inherent risks of travel and touring abroad.

We are not liable for acts of terrorism, hijacking, civil unrest, natural disasters, labor strikes, theft, travel advisories, or other events beyond our control.

We may change or modify itineraries to benefit tour members or in response to uncontrollable circumstances such as weather or local conditions.

If we cancel tours due to uncontrollable factors like weather, transport strikes, political unrest, or war, guests will bear any costs incurred during the tour processing.
